Contracts Administrator

 

(Temporary, Full-time Position)

Location: North Vancouver

Job Summary

In this role the successful candidate will administer and maintain information pertaining to Real Estate, customer and vendor contracts including maintenance of a centralized contracts database and filing system. This position is also responsible for researching and providing contract information to internal stakeholders upon request and providing administrative support to the Revenue Assurance, Contracts and Real Estate departments.

Typical Duties & Responsibilities:
(Not all inclusive or applicable to all assignments)   

  • Receives and logs into a centralized contracts database all types of contractual agreements.
  • Issues amendments to retail sales contracts, where required.
  • Provides contract information upon request to internal departments.
  • Verifies customer termination charges on customer contracts, as required.
  • Ensures accuracy of contract information in centralized contract database with regular updates.
  • Provides assistance to Sales in the proper completion of sales contracts.
  • Maintains and reviews contents of contract template database with input from Sales department and investigates and remedies any discrepancies.
  • Assists in the creation of new contract templates and updates existing templates when required.
  • Scans all contracts into centralized contracts database and photocopies for distribution and filing.
  • Occasionally liaise with legal counsel to establish negotiated terms and conditions on special contract clauses.
  • Obtains pricing from non-contract vendors for general operating goods and services.
  • Analyze existing vendor relationships and accounts to determine efficiencies and cost savings.
  • Source and research new vendors as required.
  • Enters and tracks purchase orders in QuickBooks, checking for accuracy and approvals.
  • Maintains centralized filing systems for all contracts.
  • Assists in the development of departmental wiki site including documenting departmental policies and procedures.
  • Coordinates offsite records retention.
  • Other duties as required.


Qualifications:

  • Degree in Computer Science or Electrical Engineering or Bachelor of Science in Electronic Information Engineering with 2 years experience in an IT environment
  • Technical Diploma in data processing/computer technology/electronic engineering with 4 years experience in

Working Conditions:

  • Working knowledge of basic contract law relating to customer/vendor service contracts and typically gained with 1 year in a corporate legal role.
  • Solid understanding of procurement/purchasing practices.
  • Working knowledge of property management functions.
  • Advanced skills in MS Word and Excel and working knowledge of relational databases.
  • Excellent written and verbal communications skills and the ability to deal effectively with others.
  • Ability to plan and organize in a self-directed environment.
  • Excellent research, analytical and problem solving skills.
  • Superior attention to detail.
  • Keyboarding skills 50 wpm.
